Project Overview
The House Fund's annual event at California Memorial Stadium was an exciting opportunity to showcase the latest innovations in AI and entrepreneurship. IQvideo was tasked with capturing the entire event, from the speakers and panel discussions to the presentations and interviews, through photography and videography. The goal was to create multiple video edits that would highlight the most important moments and convey the energy and spirit of the event.
To achieve this, IQvideo deployed a team of three videographers and one photographer, as well as a director overseeing the shooting. After initial zoom meetings and full understanding of clients needs, we chose to arrive ahead of time, set up for the first welcome address while simultaneously capturing guests arrivals, setup details, venue and signage, drone photography and video.
CHALLENGES & SOLUTIONS
The event had multiple breakout rooms, and our client wanted us to capture every session. We resolved this issue by using multiple videographers to film each breakout room simultaneously, thus providing comprehensive video coverage.
A lack of PA systems in the breakout rooms presented another challenge. Nonetheless, we provided multiple lavalier microphones for each speaker, which eliminated the need for a PA system and ensured that each speaker's voice was recorded clearly.
The lighting and audio environment for interviews was challenging as well. We addressed this by using a separate space that was isolated from the rest of the event. We set up a mobile interview lighting system and used creative camera angles to provide the perfect backdrops for the interviews, resulting in high-quality audio and video footage.
PRODUCTION PROCESS
Pre-Production
Before the shoot, we held several Zoom meetings with the client to discuss their needs and event agenda. Our team scouted the location to ensure that we were perfectly prepared for the shoot.
Production
On the day of the event, we arrived ahead of time to set up the equipment for all event rooms, interviews, and sound recording. While preparing for the event, we also took the opportunity to capture some of the event space's details and drone photography to make the final product more engaging.
Post-Production
After the event, we started working on the post-production phase. Within a week, the first draft of the highlights video was ready. After two rounds of adjustments, including color correction and audio treatment, the final video was ready. The rest of the deliverables were also completed on time.
